Terms of Service

These terms govern your use of Veteran Waypoints. By creating a journey, signing in, or making a purchase, you agree to them. They are written to be read by an actual person - please read them.

Who you're contracting with

Veteran Waypoints is a trading name of Interview Management Solutions, an Australian-registered company (ABN 65 166 406 015), referred to in these terms as “we”, “us”, or “Veteran Waypoints”. You - the person using the service - are referred to as “you”.

The service

What we provide

Veteran Waypoints turns the military service record you provide into a cinematic, shareable video - rendered in three formats (vertical 9:16, square 1:1, landscape 16:9) - together with a public share page and theatre-mode viewing page. The full service description on our website is part of these terms.

Accounts

Your account

To save and edit a journey, or purchase a video, you need an account. We use email-based one-time-passcodes - no passwords. You are responsible for keeping your email account secure. You must be 16 or older to create an account.

You may close your account at any time by emailing help@veteranwaypoints.com.

Content ownership

Your data, your content

The service record you enter - postings, places, units, dates, notes, dedications - remains your property. You grant us a limited, non-exclusive licence to store, process and render that data solely for the purpose of operating the service for you.

We do not claim ownership of your content. We will not use your content for marketing, training AI models, or any purpose other than delivering the service to you, unless you separately and explicitly opt in (for example, agreeing to be featured as a customer story).

Payment

Pricing and payment

Prices are shown on the regional website you visit (in GBP, USD or AUD as applicable) and include any applicable taxes shown at checkout. Payment is processed by Stripe. We do not see, store, or have access to your card details.

A donation equal to 10% of every purchase is set aside for military charities. Donations are remitted on a quarterly basis. Donation totals are reported on the website annually.

Refunds

Refunds

We offer a 14-day refund from the date of purchase if you are dissatisfied with your rendered video, regardless of reason. Email help@veteranwaypoints.com within 14 days, and we will issue a full refund within 14 days of the request. After 14 days, refunds are at our discretion.

This refund right is in addition to any statutory rights you have:

  • UK customers have rights under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 and the Consumer Rights Act 2015.
  • Australian customers have rights under the Australian Consumer Law.
  • US customers have rights under the consumer-protection laws of their state.

Nothing in these terms removes or limits those statutory rights.

Gift cards

Gift cards

Veteran Waypoints gift cards are valid for 36 months from the date of purchase. We will send a reminder to the recipient 60 days and 7 days before expiry.

Gift cards that remain unredeemed at expiry are automatically refunded in full to the original payment method. Refunds may take 5–10 business days to appear on the original card.

Gift cards are non-transferable and may be redeemed only by the recipient named at purchase. If the original recipient cannot or does not wish to redeem the card, please contact help@veteranwaypoints.com - we will work with you on a case-by-case basis.

Gift card purchases may be refunded to the buyer at any time before the recipient redeems the card. Once the recipient has redeemed the code and the journey is rendered, refunds follow the standard 14-day refund policy.

Rules

Acceptable use

You may not:

  • Submit a service record that is not your own, or not the record of someone whose explicit permission you have to commemorate
  • Upload content that is unlawful, defamatory, hateful, or that would bring the service or any military organization into disrepute
  • Attempt to reverse-engineer, scrape, or otherwise extract our software or content
  • Use the service to impersonate any individual or military unit
  • Submit information that would breach the Official Secrets Act 1989 (UK), 18 U.S. Code Chapter 37 (US), the Defence Act 1903 / Crimes Act 1914 (AU), or any equivalent legislation. You - not us - are responsible for ensuring the information you submit is not classified or otherwise restricted. Use the “classified tour” flag for any sensitive postings to keep their location off the rendered globe.

We may suspend or close any account that breaches these rules, and refund any unrendered purchases at our discretion.

Verification

Verification and authenticity

Veteran Waypoints does not verify, authenticate, or independently confirm the accuracy of any service record submitted to the platform. We are a publishing tool; we are not a service-record verification authority.

You warrant that every posting, deployment, unit, date, and detail you submit is true, your own (or that of someone whose explicit permission you have to commemorate), and not exaggerated, fabricated, or misrepresented in any way. You are solely responsible for the truthfulness of the content of your journey.

Misrepresenting military service - sometimes referred to as “stolen valor” - is a serious matter and, in some jurisdictions, a criminal offence (including under the Stolen Valor Act of 2013 in the United States). Veteran Waypoints accepts no liability for any misleading, fraudulent, exaggerated, or impersonating use of the platform, and reserves the right to:

  • Suspend or close the account of any user we reasonably believe has submitted a false or misleading service record;
  • Remove any journey, share page, or rendered video from public access without notice;
  • Cooperate with military authorities, veterans' associations, regulators, or law enforcement investigating suspected misrepresentation;
  • Withhold any refund where an account is closed for breach of this clause.

If you are aware of a Veteran Waypoints journey you believe to be fraudulent, please report it confidentially to help@veteranwaypoints.com. We take such reports seriously and will investigate.

IP

Intellectual property

The Veteran Waypoints software, design, branding, and rendered video format are owned by Interview Management Solutions. The service record content within your journey is yours. The final rendered video is yours to use freely for personal and family purposes - share it, post it on social media, send it to relatives, play it at funerals or unit reunions, keep it forever.

You may not use the rendered video for commercial purposes (resale, advertising, monetisation) without written permission.

Availability

Service availability

We aim for high availability but do not guarantee uninterrupted service. We may suspend the service for maintenance, security, or to address issues, with reasonable notice where practicable. Data is backed up; rendered videos remain available via your account and direct CDN links unless and until you delete your account.

Liability

Liability

To the maximum extent permitted by law, our total liability to you for any claim arising from the service is limited to the amount you have paid us in the 12 months before the claim arose.

We are not liable for indirect, consequential, or special losses, or for emotional or reputational consequences of the rendered video being viewed by third parties to whom you choose to share it.

Nothing in these terms excludes liability that cannot lawfully be excluded - including liability for fraud, death or personal injury caused by negligence, or breach of statutory consumer-protection rights.

Charity

Charitable donations

10% of qualifying purchase revenue is donated to military charities. The selection of recipient charities is at the sole discretion of Veteran Waypoints. Charitable donations do not imply that any charity endorses, sponsors, or has produced Veteran Waypoints.

Updates

Changes to these terms

We may update these terms from time to time. Material changes will be notified by email to active account holders at least 14 days before they take effect. Continued use of the service after changes take effect constitutes acceptance of the updated terms.

Jurisdiction

Governing law

These terms are governed by the laws of New South Wales, Australia, and the courts of New South Wales have exclusive jurisdiction, except that:

  • UK consumers retain the right to bring claims in the courts of their country of residence under UK law;
  • Australian consumers retain the rights conferred by the Australian Consumer Law;
  • US consumers retain the rights conferred by the consumer-protection laws of their state of residence.
